What is BPMN?

BPMN (Business Process Model and Notation) is the international standard for process modeling. It provides a graphical notation that is understandable by all business stakeholders — from analysts who create the processes, to developers who implement them, to managers who monitor them.

BPMN 2.0 is maintained by the Object Management Group (OMG) and is supported by every major BPM tool: Bizagi, Signavio, Camunda, and more.

Core BPMN Elements

Events (circles)

  • Start Event (thin circle) — Where the process begins
  • End Event (thick circle) — Where the process ends
  • Intermediate Event — Something that happens during the process (timer, message, error)

Activities (rounded rectangles)

  • Task — A single unit of work
  • User Task — Performed by a person
  • Service Task — Performed by a system
  • Sub-Process — A task that contains its own process

Gateways (diamonds)

  • Exclusive Gateway (X) — Only one path is taken (if/else)
  • Parallel Gateway (+) — All paths are taken simultaneously
  • Inclusive Gateway (O) — One or more paths are taken

Swimlanes

  • Pool — Represents an organization or entity
  • Lane — Represents a role or department within a pool

When to Use BPMN

  • Process documentation — The standard format for consulting deliverables
  • Process improvement — Visualize bottlenecks, handoffs, and decision points
  • System requirements — Developers can implement directly from BPMN
  • Compliance — Auditors expect BPMN for regulated processes
